Nextcloud, OneDrive or SharePoint? A Friendly Comparison

Three ways to share files as a team. What OneDrive, SharePoint and Nextcloud each do well and which one suits whom.

Nextcloud, OneDrive or SharePoint? A Friendly Comparison

If your team shares files, you'll often end up with OneDrive or SharePoint – both are part of Microsoft 365. A popular open-source alternative is Nextcloud. All three do their job well, but they have different strengths. Here's a calm comparison so you can decide what fits you.

The three in brief

  • OneDrive – personal cloud storage, included in Microsoft 365
  • SharePoint – file storage and intranet for teams and companies
  • Nextcloud – an open-source platform for files, calendars, contacts and more, on a server of your choice

When OneDrive or SharePoint is a good fit

To be honest: there are situations where Microsoft is the obvious choice.

  • You work very closely with other Microsoft services that are tightly connected.
  • Your clients or partners specifically expect Microsoft tools.
  • You don't want to deal with a server of your own and you're happy with the subscription.

When Nextcloud is a good fit

Nextcloud is a great choice if:

  • you want to know exactly where your data is,
  • you don't want to pay per-person licences,
  • open formats matter to you, so you can switch any time,
  • you want calendar, contacts and files in one place,
  • you handle confidential data, for example in a law firm or practice.

How does a move work?

  1. Transfer data: Proven tools can copy files from OneDrive or SharePoint to Nextcloud.
  2. File formats stay the same: Word, Excel and PowerPoint files keep working and can be edited in the browser.
  3. Calendar and contacts: Can be moved over using open standards (CalDAV, CardDAV).
  4. A quick introduction: It feels familiar – a short walkthrough is usually enough.

What to consider when deciding

A few questions help you find the right solution:

  1. How many people use the system? With licensing models, costs grow with every person.
  2. What data is stored there? The more confidential, the more important it is to choose the storage location yourself.
  3. Who do you work with? If partners work a lot with Microsoft, that's no obstacle – Nextcloud opens and shares Office files without any problem.
  4. Who takes care of operations? With Nextcloud, that's either someone on the team or a service provider.
  5. How important is independence to you? Open formats and free software make later switches easy.

A look at everyday use

In day-to-day work, the differences are smaller than many people think. Folders appear on your computer as usual, files can be shared with a right-click, and Office documents open in the browser. The Nextcloud app for Windows and macOS also offers "virtual files": files are only downloaded when you open them, saving space on your hard drive.

For sharing outside your team, Nextcloud offers a few handy extras: a password on the link, an expiry date, the option to allow uploads only, and, if you like, a notification when someone has downloaded the file.

Frequently asked questions

Can I use OneDrive and Nextcloud in parallel for a while? Yes – that's actually recommended. It gives the team time to settle in.

What about Teams channels that contain files? Those files technically live in SharePoint and can be transferred as well.

Conclusion

OneDrive and SharePoint are solid tools, especially if you already work a lot with Microsoft. Nextcloud is a strong open-source alternative for anyone who values control, independence and predictable costs. I offer exactly that as Cloud – more under Pricing.
